Privacy policy

HappierBiz (happierbiz.com.au) helps small businesses run their operations, bookings, customers, staff, payments and more, in one place. This policy explains what personal information we handle, why, and the choices you have. We follow the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
A note on the two roles we play
When you sign up as a business, you decide what customer and staff information to put into HappierBiz, for that information we act as a processor handling it on your behalf and under your instructions. For the information about your own account (the owner/staff who log in, billing details, and how you use the product) we act as the controller. This policy covers both; where it matters, we say which.
Information we collect
- Account information. Your name, email, business name, role and login credentials (passwords are hashed, we never store them in readable form).
- Business data you enter. Whatever you choose to record in the product, e.g. customers, bookings, invoices, staff records, documents and messages. You control this; you can edit or delete it at any time.
- Payment information. Card details for customer payments and your own subscription are collected and stored by Stripe, our payment processor. We never see or store full card numbers.
- Usage information. Basic technical data such as device/browser type, IP address and pages used, to keep the service secure, reliable and improving.
- Support correspondence. Anything you send us by email or through the in-app help.
How we use it
- Run the service. Provide and operate the features you’ve turned on, sign you in, and keep your data separated from every other business.
- Billing. Manage your trial, subscription and any paid add-ons (such as extra staff seats).
- Security & integrity. Detect and prevent fraud, abuse and unauthorised access, and keep an audit trail of sensitive actions.
- Support & service messages. Respond to you and send essential notices about your account (these aren’t marketing).
- Improve the product. Understand which features are used so we can make them better, using aggregated, not individually-targeted, signals.
We do not sell your personal information, and we do not use the business data you enter to train AI models.
Where your data lives
Your data is hosted in Australian data centres. Some of our trusted service providers (below) may process limited data overseas to deliver their part of the service; where they do, we choose providers that offer appropriate protections.
Who we share it with
We share personal information only with the providers needed to run the service, and only as much as each needs:
- Stripe. Payments and subscription billing. Stripe is certified to the highest card-industry standard (PCI-DSS Level 1).
- Hosting & database. Cloud infrastructure (Australian region) that stores and serves your data securely.
- Email delivery. Sends transactional email such as receipts, reminders and password resets on your behalf.
- Connections you switch on. If you connect an external tool (for example your accounting software), we exchange only the data needed for that connection, at your direction.
We may also disclose information if required by law, or to protect the rights, safety and security of our users and the service.
When our own team can see your data
To support you and keep the platform running, a small number of authorised HappierBiz staff can open your account and see what you see. We would rather tell you plainly how that works than leave you to assume:
- Only a few people, and only with two-factor. Access is limited to named platform administrators, each of whom must pass a second-factor check. There is no shared or generic support login.
- You can see when it happened. Every time our support team enters your account it is recorded in your own activity log, under Settings, with the date, the person and any reason they gave. You do not have to ask us.
- Why we would. Investigating a problem you have reported, fixing a fault, recovering data, or acting on a legal obligation or a safety risk. We do not browse customer accounts out of curiosity, and we do not use what we see there to market to you.
- What we can also do. Platform administrators can change your plan, suspend an account for non-payment or abuse, and permanently delete an account after cancellation. These actions are recorded too.
AI features
Some optional features use AI to help you work faster (for example drafting messages or summarising feedback). These features are designed to be privacy-preserving: where the assistant works across your records it sees aggregated summaries and first names, not full customer profiles. AI features are optional and can be turned off.
How we protect it
Data is encrypted in transit (HTTPS/TLS) and at rest, each business is isolated at the database level, sensitive files are kept in private storage behind short-lived access-checked links, and optional two-factor sign-in is available. There’s a fuller plain-English overview on our Security page.
How long we keep it
We keep your data for as long as your account is active. If you cancel, your data is retained for a short grace period (around 90 days) so you can reactivate or export it, and is then permanently deleted. You can ask us to delete your account data sooner. We may keep limited records where the law requires (for example financial records).
Your choices and rights
- Access & correction. You can view and correct most of your information directly in the app, or ask us for a copy.
- Deletion & export. You can delete records yourself, and request export or deletion of your account data.
- Marketing. Any marketing we send is consent-based with one-click unsubscribe. Essential service messages will still reach you.
- Complaints. If you’re concerned about how we’ve handled your information, contact us first, and you can also complain to the Office of the Australian Information Commissioner (oaic.gov.au).
Cookies
We use only the cookies needed to sign you in and keep the service secure. We don’t use them for cross-site advertising.
Children
HappierBiz is a tool for businesses and isn’t directed at children. Some businesses (for example a play centre) may record limited details about a child as part of a booking, that information belongs to the business and is handled under their instructions and their own privacy notice.
Changes to this policy
We may update this policy from time to time. We’ll change the date at the top, and for significant changes we’ll let you know in the app or by email.
